Buyer’s guide
Moving offices? Prepare the IT before moving day.
Signing a lease does not mean the office is ready for work. The internet connection may have its own delivery schedule. Network outlets may be in the wrong places. Use this checklist to identify the dependencies early.

Start with the premises and the date.
Ask the landlord for a floor plan, cabling information and access to the communications cabinet. Find out who can approve installation work. Check the internet delivery with the operator: a requested date is not a confirmed activation date.
Record when employees need to start work, which systems are essential and who can decide to postpone the move. Appoint one person in your company to coordinate the landlord, operator and IT supplier.
A worked planning example: 25 workstations
| Area | Information and decisions needed before ordering |
|---|---|
| Workstations | 25 planned desks. Inventory computers, docks and wired connections; employee count alone is not enough. |
| Meeting rooms | Two proposed rooms. Check video systems, screens, connections and how guests will present. |
| Internet | Confirm delivery date, capacity, connection point and fault reporting. Assess backup connectivity against the impact of an outage. |
| Wi-Fi | Mark work areas and meeting rooms on the plan. Assess walls, interference and concurrent use. Validate equipment placement with an on-site survey. |
| Cabling and power | Label outlets and the patch panel. Check switch ports, PoE capacity and equipment power. Record which existing cables can be reused. |
| Access | Separate guest access from internal business resources. Decide how printers, meeting equipment and administration will be reached. |
| Ownership | Assign responsibility for internet, firewall, network and user support. Document access rights without putting passwords in the move plan. |
Getting started
Three checks before the first working day
Confirm the deliveries
Check activation, access and installation with each responsible party. Record a fallback plan if a critical delivery is delayed.
Test where people will work
Check sign-in, calls and essential business systems from the work areas. Test video calls in meeting rooms and confirm guests cannot access internal resources. Record the results and unresolved faults.
Hand over usable documentation
Provide the equipment list, network overview, labels, support contacts and agreed follow-up actions. Decide who receives faults on the first working day and who signs off the installation.
Measure before promising coverage.
A floor plan helps with planning. It does not prove the Wi-Fi coverage the office will receive. Cisco Meraki's guidance covers site surveys and validation of the installed network. Read its wireless site survey guidance.
Be equally careful with a fixed access point count per square metre. Building materials, placement and actual usage affect the design. Ask the supplier how you will check the result together.
A one-off installation or network as a service?
If you want to own the equipment, installation and configuration can be quoted as a project. In Demand IT's NaaS model, we own the equipment and charge a fixed monthly fee for the agreed network. Internet service and new cabling need to be scoped in the quote.
Compare NaaS and network ownership and use our pricing calculators to prepare a budget. Download the supplier brief and fill in the details of your move.
